Purpose

Personal data is collected for each individual candidate. Personal data consists of normal information concerning the candidate’s situation. The purpose of collection and processing is potential recruitment. The information is obtained from the candidate, from interviews with the candidate or through references approved by the candidate. The personal data for other partners is collected solely from the partners themselves for the purpose of recruitment.

Which personal data does Populos collect?

Populos can, inter alia, collect the following personal data:

  • Name
  • Address
  • Telephone number
  • Email
  • Skype ID
  • Birth date
  • Bank information
  • CV
  • Job applications
  • Civil registration no.
  • Documentation for certifications/qualifications
  • Picture ID
  • Sex
  • Nationality
  • Medical certificate
  • Residence and work permit
  • Tax information
  • Family information
 

Recipients of personal data

If you so consent, certain personal data (name, CV, references) will be passed on to specific clients who are looking to recruit. Your personal data will not be shared in any other way.

Processing and authority

In connection with the recruitment process at Populos, personal data will be processed in accordance with the guidelines of the Danish Data Protection Agency. Populos processes personal data on the basis of the following: (1) legitimate interests, cf. the interest balancing rule in the General Data Protection Regulation (GDPR) Article 6 (1) (f). (2) Obtained consent, cf. the GDPR Article 6 (1) (a) and Article 9 (1) (a). (3) To meet a contractual obligation, cf. the GDPR Article 6 (1) (b).

As mentioned, the processing of (general) personal data takes place in part on the basis of legitimate interests. The legitimate interest in question is the interest to collect data on potential candidates for the purpose of recruitment of these candidates to certain positions.

The personal data covered by the GDPR Article 9 (1) concerning racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, and the processing of genetic data, biometric data, data concerning health or data concerning a natural person’s sex life or sexual orientation shall be processed solely on the basis of explicit consent. Consent can be withdrawn at any time by contacting the data controller:

Storage of and access to data

Personal data is kept on Populos’ own server. Furthermore, only relevant employees at Populos have access to the data, with the exception of the IT administrator.

Erasure of personal data

Personal data from candidates, job seekers, partners and other stakeholders will be stored for six months, after which it will be destroyed. However, Populos deletes personal data on an ongoing basis if it is no longer accurate, true or relevant with respect to the purpose for which it was collected.

Your rights concerning your personal data

Right to be informed

  • You have the right to know which personal data Populos processes about you.

Right to rectification

  • You have the right to have your personal data rectified.

Right to erasure

  • In certain cases, you have the right to have your personal data in Populos’ possession erased prior to the time when Populos erases the data on its own initiative.

The right to limit processing of your personal data

  • In certain cases, you have the right to limit Populos’ processing of your personal data, such that going forward Populos may only process your data – except for storage – with your consent or if a statutory requirement can be established, exercised or defended, or to protect a person or important social interests.

Right to object

  • You have the right to object to Populos’ legal processing of our personal data.

Right to data portability.

  • In certain cases, you have the right to receive your personal data, which is in Populos’ possession, in a structured, commonly-used and machine-readable format and to have this personal data transferred from Populos, as the data controller, to another data controller.

The right to not be subject to automated decisions (including profiling)

  • In certain cases, you have the right to not be subject to automated decisions which have a significant effect on you.

Any request concerning your rights will be complied with within 4 weeks after Populos has received your enquiry, providing that Populos is required to comply with your request. Requests can be addressed to the data controller: Populos (see contact information above).
